Insurance
All exhibitors shall supply a Certificate of General Liability Insurance with at least $1,000,000 limit per occurrence and $2,000,000 in aggregate and include the Additionally Insured Endorsement with your COI.
In the Description of Operations box, you must list:
Certificate holders, Washington County, NW Hunt Expo, their agents, officers, elected officials, employees and volunteers as additional insured in respect to the NW Hunt Expo.
In the Certificate Holder Box, you must list:
NW Hunt Expo 30805 NW Highland Ct., North Plains, OR 97133.
All Certificates of Insurance must be accompanied by the Additionally Insured Endorsement page/s.
Failure to supply insurance to NW Hunt Expo by January 15, 2026, may result in termination of your contract without refund.

Exhibitor Badges
Exhibitor badges provided by NW Hunt Expo are based on the size of your booth. If you need additional badges, you can purchase discounted general admission tickets prior to the show.

Discounted General Admission Tickets
Tickets purchased will be sent via email from our third-party ticketing platform. Please distribute them to your staff as needed. Tickets can be shared via email, printed, and saved digitally to a device.
Move-In & Move-Out Schedule
Move-In
- EARLY SETUP – Tuesday March 3rd, 2026 from 12:00 PM to 8:00 PM *for large scale, professionally built booths, that require extra setup time. MUST be requested and approved in advance.
- REGULAR SETUP – Wednesday March 4th, 2026 from 8:00 AM to 8:00 PM
- No overnight set-up allowed
Move-Out
- Saturday March 7th, 2026 from 7:00 PM to 10:00 PM
- Sunday March 8th, 2026 from 8:00 AM to 2:00 PM
- No overnight breakdown allowed
Tech Supply
Complimentary wireless internet access is available for all exhibitors and attendees, but we strongly recommend using a mobile hotspot device to ensure secure and reliable internet connection.
Electrical Service
10×10 and 10×20 booths will include one 110V 5AMP electrical drop, placed on the back wall of the booth.
20×20 and larger booths will include one 110V 20AMP electrical drop.
For any electrical drops beyond your included allotment, please place an order for the additional service.
110V 5AMP – $100 each
110V 20AMP – $250 each
For specific electrical drop locations, we must receive a booth map no later than 1 month prior to the show.
If you need additional power beyond 110V 20AMP, please let us know.
You are required to provide all cords you will need from the drop, and they must be in good working condition. The hard-wiring of cords will not be allowed. Any electrical equipment must meet all current electrical code requirements. NW Hunt Expo reserves the right to refuse to hook up any exhibitor.
Forklift or Indoor Pallet Jack Services
If you need a Forklift to off-load/re-load items for your booth, or a Pallet Jack they will be available on a limited basis. The cost for the Forklift and Operator will be a minimum $100.00 fee per each 30 minutes use (meaning off-load into the booth, and re-loading into your vehicle during the move-out are 2 separate charges) and each will be required to be scheduled and paid for in advance. The use of the Pallet Jack will cost $30.00 and you will be able to request it on-site during the load-in and it will be available only on a limited basis, depending on the demand for it. All scheduling arrangements and billing will be handled directly with our EAC.
Carpet & Drape
Black carpet and black drapes are provided in every booth, at no charge, by NW Hunt Expo. If you would like carpet padding, please order directly from the EAC. If you would like to use your own carpet, it must be black, and you must notify NW Hunt Expo by January 15, 2026.
Decorator & Rentals
You may provide your own booth supplies, however if you need rental items, you must order directly from our EAC. This includes things like; tables, chairs, graphics, garbage cans, décor, etc. No outside contractors are allowed on-site.
Payment Schedule
A 50% deposit is required to reserve your booth space. An invoice will be emailed to your Accounts Payable contact after your application has been approved.
The final booth payment is due by January 15th, 2026.
Daily Parking
NW Hunt Expo offers exhibitors the opportunity to park in a lot which is reserved exclusively for exhibitors on the south side of the Wingspan Event & Conference Center, for free. Space is limited and is available daily on a first-come, first-serve basis. Once the exhibitor lot is full, exhibitors will park in regular public parking lots.
Secure Trailer Parking
Limited trailer or box van parking in a secure and fenced lot is also available, you must reserve a spot for your trailer in advance. Trailer parking is located next to the exhibitor parking lot, on the south side. Please note that trailer parking is intended to leave your trailer parked for the duration of the show, daily access is available through the main building during exhibitor hours.
Exhibitor Hours & Daily Entrance
On show days, exhibitors are allowed to enter the building at 8:00 AM, and must exit the building by 8:00 PM.
Exhibitors are asked to enter and exit through the Exhibitor Entrance on the north side of the building near Exhibitor Parking, see the Building & Parking Map below for location details.
Exhibitor Lounge
For your comfort and convenience, we have reserved a private Exhibitor Lounge exclusively for staff. This space provides a private area with tables and chairs for you to take breaks throughout the day, see the Building & Parking Map below for location details.
RV Dry Spaces
NW Hunt Expo offers exhibitors the opportunity to park RV’s at the fairgrounds during the week of the show for $35 per night. These spaces have power or water hook-ups, but no sewer. You may not tent camp in these spaces. We do not have a pumping station or water filling stations on site. If you would like to rent an RV space, please reach out directly to Events@nwhuntexpo.com.
No Solicitation
You must remain within the boundaries of your booth, and your booth must be attended at all times with at least one person present during show hours. You cannot leave your booth to roam through the grounds or buildings to hand-out materials and/or sell your product(s). Exhibitors, their elected officials, officers, employees, and agents, agree not to, directly or indirectly, solicit or attempt to solicit any customer or client at NW Hunt Expo for the purpose of providing or receiving products, services, fundraisers or donations. NW Hunt Expo, in its discretion, may remove an exhibitor and the exhibit from the show without refund for violation of this “No Solicitation” agreement.
Signage
All signs used by exhibitors at NW Hunt Expo must be professionally made, so this could be an added cost for you to consider. This includes a required company sign, pricing signs, informational signs, and booth identification signs. Handwritten signs, of any type, are NOT allowed.
